Study groups and the attendance register
How a study group works, what happens when a student joins or leaves, how to lay out a whole term with one rule, and how the register works: four marks and their consequences.
A group in X10 CRM is a membership list and an intent, not a separate calendar. Appointments stay ordinary calendar entries; the group only says who should sit in them. The difference becomes visible the moment a student joins mid-term: the system has to work out which appointments to seat them in.
#Group membership
| Action | What happens |
|---|---|
| Add a student | they are seated in every future appointment of the group. Past ones are untouched — they weren't there |
| Remove a student | they disappear from future appointments; past ones stay in the register together with their marks |
| Move to another group | removed from the old group's future appointments, seated in the new one's |
#Laying out a series of appointments
A term's worth of classes is not entered one by one. You set a rule — for example “Tuesday and Thursday at 16:00 until 31 May” — and the system creates the whole batch in the resource's calendar.
- Pick the service, the resource, the time and the weekdays.
- Set the date the rule runs until.
- The system skips days when the resource is busy or off.
- The list of skipped days is shown immediately, on the layout screen.
- Confirm — the appointments appear in the calendar and in the group's register.
Cancelling a series works the same way in reverse and affects future appointments only. Every appointment the school cancels returns the lesson to the student's pass automatically — see passes.
#The attendance register
The register is a students × appointments matrix. Clicking a cell cycles the mark; totals per student for the period are shown on the side.
| Mark | Pass | Revenue | When to use it |
|---|---|---|---|
| Booked | untouched | not counted | the default state before the class |
| Attended | one lesson deducted | counted | an ordinary class |
| Late | one lesson deducted | counted | arrived, but not from the start |
| No-show | one lesson deducted | counted | didn't come and didn't warn: the seat was taken, the teacher turned up |
#Who fills in the register
That is the school's decision. The fastest arrangement is for the teacher to mark attendance right after the class: they see their own calendar and their own groups but not leads, prices or revenue — see roles and permissions. The administrator then only chases the classes nobody marked.
Register totals feed the schedule reports: attendance per group, the share of no-shows, and hours per resource.
