Service mode: services, resources and schedules

How to switch a project to Services mode, define services with duration and buffers, and describe resources — teachers, rooms and equipment — with working schedules and exceptions.

X10 CRM runs in two modes. Product mode — leads, cart, stock, waybills — is how the system has always worked. Service mode adds the calendar, resources, groups, passes and online booking: everything a school, studio, clinic or repair shop needs. This page covers the foundation: how to turn the mode on, what a service consists of, and what a resource is.

#The mode belongs to the project

The mode is set in Settings → Working mode and belongs to the project, not to the installation. One database can serve both a product line and a school: a project without its own mode follows the global one.

  • Nothing changes for a product project. Products is the default, and no section switches itself on.
  • In a Services project the delivery and waybill block disappears from the lead — such a project ships nothing, and fields that are never filled in do not take up screen space.
  • Switching does not lose data — it is a display flag, not a migration.

#A service is a product with a flag

A service lives in the same catalogue as products and is marked with the “This is a service” flag. Because of that, the cart, lead totals, per-item statistics and the rest of the CRM machinery work with it without any special rules.

#Resources: teacher, room, equipment

A resource is whatever is occupied for the duration of an appointment. Teachers, rooms and equipment are described by a single entity because they share one rule: two bookings for the same resource at the same time never happen. That is why rooms don't need a spreadsheet of their own — they are booked by the same mechanism as people.

#How the schedule is read

The schedule is not decoration: free slots for online booking and the utilisation figure in reports are both computed from it. The order is:

  1. Take the recurring shift for that weekday, if it is valid on that date.
  2. Apply exceptions: holidays and sick leave remove time, a one-off slot adds it.
  3. Subtract existing appointments together with the service buffers.
  4. Whatever remains is the resource's free time.

#Setup order

    Switch the project to Services

    Settings → Working mode. If the company also runs a product line, leave that project on Products.

  2. 02

    Create the services

    Not “lessons” in general, but concrete items: trial lesson, one-to-one class, group A1, conversation club. Each with duration, buffer, seats and price.

  3. 03

    Add the resources

    Teachers first, then rooms and equipment. Each gets the list of services it delivers.

  4. 04

    Describe schedules, then exceptions

    Recurring weekday shifts cover 90% of cases; holidays and one-off slots go on top.

  5. 05

    Link CRM users

    Give the teacher a role limited to their own calendar: roles and permissions.
